Refunds & rescheduling

This policy applies to paid assessments and Monthly Performance Support retainers with System Nodebase Co., Ltd. It does not cover goods, software licences, or delivery models we do not offer.

Eligibility

Refunds are available when we cancel an engagement we cannot staff, when a deposit was taken for a start date we later cannot meet, or when written scope cannot proceed because we failed to deliver agreed kickoff milestones. Client-driven cancellations follow the timelines below.

Timeframe

Refund requests should be emailed to hello@system-nodebase.click within fourteen days of the triggering event (cancellation notice, missed kickoff, or delivery dispute). Include the engagement reference and preferred refund method details.

Full and partial refunds

If you cancel more than ten business days before the agreed start date, the deposit is refundable minus a 5,000 THB administration fee. Cancellations between ten and three business days receive a fifty percent deposit refund. Cancellations inside three business days, or after kickoff materials have been ingested, are non-refundable for the deposit; work already performed is invoiced at the quoted daily rate and deducted from any remaining prepayment.

Non-refundable items

Completed findings packs, delivered monthly notes, facilitated debrief sessions that have already occurred, and third-party venue or travel costs booked with your approval are non-refundable.

Refund process & timing

Approved refunds are processed to the original payment method or a Thai bank transfer nominated in writing. Allow five to fifteen business days after approval for the funds to appear, depending on the bank.

Cancellation & rescheduling

You may request one reschedule of a field assessment start date without fee if notice arrives at least five business days prior and the new date falls within sixty days. Further reschedules may incur a 8,000 THB planning fee. Monthly retainers may be paused with thirty days’ written notice; unused hours within a month do not roll beyond thirty days as stated in the service description.

No-shows & access failures

If a measurement day is blocked because agreed site access was not arranged on the client side, that day is billed as delivered. We will offer a replacement day subject to calendar availability; replacement travel may be requoted.

Work already started

Once counter ingestion or field sampling has begun, fees for completed stages remain payable. Any unused prepaid balance after deducting completed stages may be applied to a revised scope or refunded under the partial-refund rules above.
